Kohl & Kesar Films delivers before guests check out

Destination weddings scatter guests across three countries the morning after. Rohan Mehta’s team now uploads overnight from the hotel and sends one link before breakfast on the last day.

Before SpotMe

Kohl & Kesar Films shoots destination weddings in Udaipur’s lake palaces and heritage hotels. A typical booking is three days, 250 to 400 guests, flown in from Mumbai, Delhi, London and Dubai.

The timing was the hard part. Guests arrive for the mehendi, stay through the pheras, and leave the morning after the reception. By the time Rohan’s team had edited and sorted, everyone was home in four different time zones.

“We were sending Dropbox links two weeks later to people who had moved on. The photos never got the moment they deserved.”

Hotel Wi-Fi made it worse. Palace hotels have beautiful courtyards and terrible upload speeds, especially at night when 300 guests are streaming on the same network. A big upload would fail halfway and start again from zero.

The couples were happy with the final gallery. The guests mostly never saw theirs.

Making the switch

Rohan’s team tested SpotMe on a smaller wedding first, then moved a 9,000-photo palace wedding onto it.

They changed their workflow around it. The two lead photographers cull and lightly edit on the night after the last function, then the studio manager uploads from the hotel, using a team account so it doesn’t sit on Rohan’s login. The upload runs overnight. When the connection drops, it carries on from where it stopped rather than starting over.

The adjustment was getting the edit done fast enough. They now deliver a first set of edited photos for guests the morning after, and the fully graded set to the couple a few weeks later in the same event.

Once the upload finishes, someone clicks Find faces and the team waits for the email before sending the link. Early on, a junior shared the link too soon and guests saw a waiting screen. That only happened once.

What changed

On that 9,000-photo wedding, the guest link went into the wedding’s WhatsApp group at breakfast on checkout day. Most guests had their photos before they left the hotel, and many were scrolling them in the airport lounge.

The studio has delivered 14 destination weddings this way this season, and not one hard drive has been couriered abroad.

Wedding planners noticed first. Two Udaipur planners now mention same-trip guest delivery when they recommend the studio, because it makes their own events look better.

Rohan keeps the full-resolution originals in each event, so the couple can download print-quality files for their album, and guests in London can print their own photos without asking for a separate link.

“At a destination wedding the guests are the couple’s whole world for three days. Getting photos to them before they scatter is the best thing we can do for the couple.”

“Destination guests leave on the first flight out. If the photos are not in their hands before checkout, they arrive in a different life two weeks later. Now we upload overnight from the hotel and the link is in the group by breakfast.”
