Event photos every employee actually opens
Corporate event photos usually land in a 4,000-file shared folder that nobody outside the HR team ever opens. With SpotMe, each employee takes one selfie and gets the photos they are in, under your studio’s name, often by the next morning.

At a glance
Their photos, not everyone’s
Each employee sees only the photos they appear in, plus anything the organiser shares with the whole company.
Data stays in India
Photos are stored on AWS in Mumbai. Selfies are never stored, and face matching runs on our own servers.
Numbers you can report
Who opened the gallery, with verified mobile numbers, and how many times each photo was viewed and downloaded.
Annual meets, offsites and award nights
Corporate work is steady, repeat business, and the clients notice delivery more than most wedding families do.
- Annual meets. 600 employees at a Goa resort for two days. Everyone wants the photo with the MD, and nobody wants to dig for it.
- Conferences. Speakers want their stage shots for LinkedIn by Monday. Attendees want the one from the networking dinner.
- Award nights. Every winner walks up for the trophy, so every winner expects that frame.
- Offsites and Diwali parties. Smaller and looser, with team photos people actually want to keep.
One link covers all of it. Folders let you split Day 1, breakout sessions and the awards, so the comms team can find what they need.

Answers for the HR and IT questionnaire
Larger companies send a vendor form before they let anyone handle employee photos. These are the answers we give:
- Where the data lives. AWS in Mumbai, India, in private storage buckets.
- How photos are shared. Every media link is signed and expires after an hour. There is no public gallery.
- What happens to selfies. They are never stored. A selfie becomes a face template (a set of numbers describing a face, not a photo) used only to match that person within that one event.
- Who processes faces. We do, on our own servers, with models we trained in-house. No photo or selfie is sent to a third-party AI provider, and face data is never used to train models.
- Who sees what. Each employee sees only photos they are in. The full set is on a separate private link for the organiser.
Our security page has the longer version, which you can forward to the client as it is.
The company’s event, your studio’s name
The gallery opens with the event name and a cover photo you choose, often the stage backdrop with the company’s logo on it. Your studio name and logo sit at the top, and your watermark is on every download.
With a custom domain, the link sits on a web address you own, such as photos.yourstudio.com, instead of ours. That looks better in an internal email to 2,000 employees, and it keeps your name in front of the people who book next year’s event.

What the organiser gets afterwards
The organiser gets the master link with every folder. They can mark favourites for the internal newsletter and share the group photo or the keynote shots with every attendee in a click.
Guest leads give you the list of everyone who opened the gallery, with their name and a verified mobile number, plus views and downloads for each photo. Export it as a CSV when the client asks how many people used it.
It is not an attendance register. Someone who came to the event but never opened the link won’t be on the list.
How it works
Create the event and folders
Name it after the occasion, pick a cover photo and add folders such as Day 1, Breakouts and Awards night.
Upload after the last session
Upload from the hotel that night. With team accounts, your second shooter uploads their cards into the same event.
Click Find faces
SpotMe matches every face across the event. Send the master link to the comms team so they can pick company-wide photos.
Share the guest link
The client sends it on internal email or the company WhatsApp group. Employees verify their number, take a selfie and download.
From photographers using it
“We also cover a pharma company’s annual meet, about 600 employees. Everyone had their own photos the next morning. Their HR team now asks for it at every event.”

Common questions
Can employees see photos of their colleagues?
Only photos they appear in, which often includes colleagues standing next to them, plus anything the organiser chooses to share with everyone. Nobody can browse the full event from the guest link.
Where is employee data stored?
On AWS in Mumbai, India, in private storage. Media links are signed and expire after an hour.
Are employee selfies used to train AI?
No. Selfies are never stored, and face data is never used to train models. Matching runs on our own servers, not through an outside AI company.
Can the gallery link use our own web address?
Yes. Custom domains let the gallery sit on an address you own, such as photos.yourstudio.com, with your studio name and logo on the page.
Can photos be ready the morning after the event?
Yes, if you upload that night and click Find faces. Photos are not delivered during the event itself; they go out once you have uploaded.
Is there a limit on attendees?
No. Every plan includes unlimited guests and face searches, so a 3,000-person conference costs the same as a 40-person offsite.
