9 questions to ask before choosing a photo sharing app for your studio

Bride in red and gold framed by a glowing ring light

A studio owner in Rajkot showed me a spreadsheet last winter. Five photo sharing apps down the side, a column for the price on each website, and a winner circled in red: the cheapest.

Three months later he called to say the cheap one had cost him more than any of the others. It charged per photo, his weddings averaged 7,000 edited images, and by February he had bought credits four times.

The prices on pricing pages are real. They just don’t tell you much. So here are the nine questions we’d ask, if we were choosing a tool and didn’t make one. I’ll tell you how SpotMe answers each, but I’ve tried to write them so they’re useful whichever app you pick.

1. How accurate is it on a real wedding, not a demo?

Every face recognition demo works, because demos use clear, front-facing, well-lit photos. Weddings are not that. They’re side profiles at the pheras, aunties in heavy jewellery, a cousin in sunglasses at the haldi, the whole family under magenta stage lights at the sangeet.

Ask to run one of your own past weddings through it. Then check the hard cases: an elderly relative, a guest who appears mostly in the background, someone wearing glasses, the sangeet folder. Count the misses and the wrong matches.

SpotMe is 99.99% accurate, measured on real wedding and event photos. Our models are trained in-house on exactly these situations, and we’d rather you test that on your own wedding than take our word for it.

2. Does it keep my originals, or compress them?

Some apps quietly resize or recompress photos to save on storage. You won’t notice on a phone screen. The couple will notice when they print a 16×24 for the living room.

The test is simple. Upload a photo, download it from the guest side, and compare the pixel dimensions and file size with what you uploaded.

SpotMe stores originals as uploaded. Guests can choose a full-resolution original or a lighter mobile download at 2048 pixels, which is plenty for a status. If you’ve set a watermark, it’s on both.

3. How does it charge: credits, photos or storage?

This is the question that bit the Rajkot studio, and it’s the one that matters most over a season.

  • Per-photo or credit pricing charges you for each photo uploaded or processed. Cheap for a small birthday, painful for a five-function Gujarati wedding.
  • Per-event pricing charges a fee each time. Predictable, but it adds up across 40 weddings.
  • Storage pricing charges for space. What matters then is whether that space is reusable when you delete old events, or whether it fills up forever.

Try your own numbers below. Put in the weddings you shoot in a year and roughly how many photos you deliver per wedding.

40
5,000

We assume about 12 MB per edited JPEG.

Storage is reusable: once a couple has downloaded, delete the event and its space comes back.

For reference, SpotMe charges for storage, yearly: Free with 10 GB forever, Standard at ₹17,000 a year for 500 GB, and Pro at ₹22,000 a year for 1 TB. When you delete an event, its space comes back. We wrote a longer comparison in per-photo credits vs storage pricing.

4. Are there caps on guests, face scans or messages?

Read the fine print for limits that only show up at Indian-wedding scale. Common ones, usually elsewhere: a cap on guests per event, a monthly limit on face scans, extra charges for WhatsApp or SMS messages, or a limit on how many events can be active at once.

A 600-guest wedding where only the first 300 guests can see their photos is a very awkward phone call with the bride’s father.

SpotMe has no guest caps, no face-scan limits and no WhatsApp or SMS fees on any plan.

The couple and the guests want different things. The couple wants everything: every folder, every function, a way to mark favourites, and a way to choose album photos without fifty WhatsApp screenshots. Guests want only their own photos.

Some apps give everyone the same view. Ask specifically whether there’s a separate couple gallery.

On SpotMe there are two links. The couple link shows every folder, keeps favourites synced across their devices, has a people view, and lets them share photos with all guests. The guest link shows only that guest’s matches plus whatever the couple has shared.

6. Is branding locked to the expensive plan?

Your watermark and studio name on every photo is how a gallery turns into future bookings. Plenty of tools keep custom branding, logo or watermark for higher tiers, which means on the plan you can actually afford, your galleries advertise the app instead of you.

Ask exactly what branding each plan includes. On SpotMe, studio name, logo, contact details and watermark are on every plan, including Free. If you’re unsure what kind of watermark to use, see watermarking wedding photos.

7. Where is the face data processed, and what happens to selfies?

This one is easy to skip and the couple may well ask you. When a guest takes a selfie, where does it go? Is it sent to a third-party AI provider? Is it stored? Is it used to train anything?

Ask for straight answers in writing, and where the photos are stored.

For SpotMe: our face recognition runs on our own servers, with models we trained in-house and no third-party AI providers. Guest selfies are never stored; a selfie becomes a face template (a set of numbers describing a face, not a photo) used only to match that guest within that event. Face data is never used to train models. Photos live on AWS in Mumbai, in private storage, and the links to them expire after an hour. The details are on our security page.

8. Who helps me set up the first event?

Your first event on any new tool is where things go wrong: folder structure, watermark placement, what to tell the couple, how to post the link in the family group.

Ask whether someone will actually set it up with you, or whether you get a help centre link. Then send a support message before you sign up and see how long the reply takes.

On every SpotMe plan, our team sets up your first event with you, free.

9. Can I export my guest leads?

Every guest who verifies their number to see their photos is a potential future client. The question is who that list belongs to.

Ask whether you can see guests’ names and verified numbers, and whether you can export them. Some apps keep that data inside their dashboard, or don’t collect it at all.

SpotMe gives you names, verified mobile numbers, and views and downloads per photo, with a CSV export, on every plan. There’s a guide to using that list without annoying anyone in turning wedding guests into bookings.

A one-page scorecard

If you’re comparing a few apps, print this and fill it in after a trial on a real wedding:

QuestionWhat a good answer looks like
AccuracyTested on your own wedding, few misses on side profiles and sangeet
OriginalsDownloaded file matches the uploaded resolution
Pricing modelPredictable across a full season, no surprise top-ups
CapsNo limits on guests, face scans or messages
Couple gallerySeparate link with all folders and favourites
BrandingYour watermark and logo on the plan you’ll actually buy
Face dataSelfies not stored, not used for training, clear storage location
SetupA real person helps with your first event
LeadsNames and verified numbers, exportable

The Rajkot studio, for what it’s worth, now fills in a version of this for every tool he considers, not just photo sharing. He says it took him one bad season to learn to read past the pricing page.

If you want side-by-side detail on specific tools, we keep comparison pages up to date, and our guides go deeper on delivery and pricing.

Quick answers

What should I look for in a wedding photo sharing app?

Test face recognition accuracy on one of your own weddings, check that originals are kept, compare pricing over a full season, and confirm there are no guest caps and that branding is on the plan you’ll buy.

Is per-photo credit pricing or storage pricing cheaper for weddings?

For studios shooting large weddings regularly, storage pricing is usually cheaper and more predictable, especially when storage is reusable after you delete old events.

Do photo sharing apps store guest selfies?

It depends on the app, so ask. SpotMe never stores guest selfies; each selfie becomes a face template used only to match that guest within that event.
